Client Approval Email Template for Freelancers

You sent the final files three days ago. No reply. Was it seen? Is it approved? Do you invoice now — or wait and look desperate? Every freelancer knows this limbo, and it exists for one reason: most approval requests are written to be ignored.

Below is the email template we recommend, the follow-up that rescues buried approvals, and the five rules that make them work. Steal all of it.

Why approvals die in inboxes

The template (copy, paste, send)

Subject: [Project] — ready for your approval (2-minute review) Hi [name], [Project name] is complete and ready for your sign-off. Everything for review is here, in one place: [link] You'll find: - The final files (v3 — this supersedes all earlier versions) - A short summary of what changed since the last round - A comments area if anything needs adjusting Please take 2 minutes to review and hit Approve at the bottom — that timestamps the sign-off for both of us, and I'll send the final invoice right after. If something needs changing, just drop a comment on the item and I'll turn it around within [1–2 business days]. Thanks for a great project, [your name]

The follow-up (send after 3 business days of silence)

If we're good to go: 2 minutes, hit Approve, and I'll wrap up with the final invoice. If anything's unclear or needs a tweak, leave a comment there and I'll fix it fast.

The five rules behind the template

  1. One link, never five attachments. Attention is the bottleneck, not file size. (We covered the full delivery system in our guide to delivering client work without the email mess.)
  2. Make approval an action, not a reply. "Approve" beats "thoughts?" every time — it's a decision, not homework.
  3. Anchor the invoice to approval. It frames the delay honestly: their silence is literally holding the money.
  4. Give changes a channel. "Comment on the item" prevents the feared vague reply ("looks different somehow?") and protects your timeline.
  5. Keep the receipt. Timestamped approvals end 90% of scope disputes in one screenshot.

When email itself becomes the problem

Templates fix the words. They don't fix the medium: files still scatter, the "approved" still lives in message #37, and your client still needs to assemble context from a week of emails.
